Role Description:

The WellCat Prevention Office in the Student Affairs Department is collecting application materials for Office Assistants (OAs) to support the day-to-day operations of the WellCat Prevention Office and contribute to WellCat Prevention’s mission at CSU, Chico by helping deliver accessible, student-centered prevention services and creating a healthier campus culture. OAs play a key role in welcoming students, supporting service delivery logistics, and ensuring smooth coordination of the office’s online booking system (Microsoft Bookings) and scheduling workflows.

Description of Duties:

 8-12 hours/week

  • Assist all visitors to the WellCat Prevention office, representing WellCat Prevention and the university in a positive manner and greeting all guests upon arrival.
  • Answer phones, take detailed messages, and represent WellCat Prevention via phone and in person.
  • Provide general information to students and campus/community partners about prevention services, how to access them, and how to schedule appointments.
  • Manage and support day-to-day scheduling for Prevention services using Microsoft Bookings and Microsoft Outlook, including:
    • Wellness Check-Ins/Resource Navigation appointment scheduling
    • BASICS/CASICS appointment scheduling (as applicable)
    • Making Healthy Choices (eCHECKUP TO GO) support appointments and/or coordination (as applicable)
    • SMART Recovery group meeting schedules, room reservations, and logistics
  • Monitor the Bookings calendar for accuracy, appointment changes, cancellations, and no-shows; follow established office protocols for reminders and updates.
  • Maintain accurate scheduling and documentation workflows across systems as required (e.g., Titanium and/or other tracking systems, when applicable to the role).
  • Assist with scheduling of WellCat Prevention presentations and outreach requests, coordinating with staff and campus partners.
  • Assist with scheduling of campus space, collaborating with Facilities Reservations and other entities.
  • Track and update department receipts and other financial materials as needed.
  • Assess office supply levels and assist with orders as needed.
  • Make telephone contact with vendors to discuss purchase orders, shipping documents, and/or payment status.
  • Assist with maintaining the physical organization of the WellCat Prevention office (front desk, materials, storage, signage).
  • Provide office support such as mailings, front desk coverage, filing, and document organization.
  • Review, update, and reconcile WellCat Prevention reports, evaluations, and other documents as assigned.
  • Assist as necessary with department events and tabling/outreach logistics (materials prep, checklists, packing, and follow-up).
  • Assist in communication and collaboration with other campus departments and community partners, supporting referrals, event coordination, and shared prevention initiatives.
  • Maintain professional, student-centered communication while following privacy practices and office protocols.

Minimum Qualifications:

  • Desire to promote the WellCat Prevention mission and healthy choices and behaviors for all CSU, Chico students.
  • Strong interest and enthusiasm in promoting healthy behaviors among fellow students, staff, and faculty.
  • Open-minded and non-judgmental with a positive attitude.
  • Ability to work collaboratively on a team as both a leader and supportive group member.
  • Excellent time management and verbal and written communication skills.
  • Ability to interact with faculty, staff, students, vendors, and the public to provide information in a professional manner.
  • Excellent organizational skills and ability to work in a fast-paced environment.
  • Ability to relate to students in need, faculty, staff, and community members while representing WellCat Prevention and CSU, Chico.
  • Experience with Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment (copy/scanner).
  • Comfort learning and using online scheduling systems (e.g., Microsoft Bookings) and program tracking systems (e.g., Titanium), as trained.
  • Must be an enrolled, full-time CSU, Chico student in good academic standing.
  • Must possess a 2.5 minimum GPA.
  • Minimum 2-semester commitment required (3 to 4 semesters preferred).
  • Must attend weekly training/team building/staffing meeting (Tuesdays from 2:00–4:00 PM).
  • Attend and complete all mandatory training as assigned by professional staff. These include but are not limited to: HIPAA Certification, Wildcats ROAR!, Diversity Training.
